Vanguard Ranches Golf Course, LLC (“Company,” “we,” “our,” or “us”), doing business as The Ranches Golf Club, is committed to protecting your privacy and providing a safe, enjoyable, and consistent experience for all guests, members, and visitors.

This Privacy Policy explains how we collect, use, store, and safeguard your information when you visit our website, book services, purchase memberships, participate in events, use our facilities, or communicate with us.

The policies below also establish our operating guidelines regarding tee times, golf carts, weather, rain checks, walk-on play, and certain guest privacy matters.

By using our website, booking a tee time, purchasing a membership or service, participating in an event, or otherwise using our facilities, you acknowledge and agree to the applicable policies below.

5. TEE TIME CANCELLATION & MODIFICATION POLICY

To ensure all guests have the best possible opportunity to enjoy the course, all scheduled tee times are subject to the following policies.

Standard Cancellations

Full Cancellation: Tee times must be cancelled at least 24 hours before the scheduled start time.

Late Cancellations: Cancellations made within the 24-hour window may be subject to a cancellation fee or a charge to the credit card on file.

No-Shows: Failure to show up for a scheduled tee time may automatically result in a charge.

Group Size Adjustments

If you need to reduce the number of players in your party, you must notify the Pro Shop at least 6 hours before your scheduled tee time.

Failure to adjust the player count within this timeframe may result in a no-show fee for missing players.

Inclement Weather Exceptions

On days designated by the Pro Shop as Inclement Weather Days, additional flexibility may be provided.

Guests may cancel an entire tee time or adjust their player count up to 2 hours before the scheduled start time without penalty.

If the course is closed due to lightning or otherwise determined to be unplayable or unsafe, applicable cancellation fees may be waived or refunded.

6. GOLF CART USAGE & RENTAL POLICY

To maintain a reasonable pace of play, preserve course conditions, and ensure adequate cart availability, the following rules apply to golf cart rentals.

Standard Cart Allocation

Tee times are limited to a maximum of:

- Two carts per foursome

- One cart per twosome

Players are expected to share carts with others in their group when required.

Extra Cart Requests

Subject to availability, an additional cart may be requested for an extra cart fee in addition to the applicable green fee:

- 9-Hole Extra Cart: $15

- 18-Hole Extra Cart: $25

Fleet Capacity Restrictions

Cart availability is monitored throughout the day to ensure sufficient carts remain available for later tee times.

Once the cart fleet reaches the operational threshold of 35 carts remaining in the cart barn, no additional or extra cart requests will be granted.

At that point, players will be required to pair up with two riders per cart.

General Cart Rules

- Drivers must be at least 16 years of age and possess a valid driver's license.

- All daily course markings and cart restrictions must be followed, including - - Cart Path Only designations.

- Carts must remain on designated paths near tees and greens.

- Carts must remain out of native areas.

- Guests must follow all posted cart rules and instructions from course staff.

7. TEE TIME ARRIVAL POLICY

To maintain a smooth experience and scheduled pace of play:

10-Minute Check-In

All players must be checked in at the Pro Shop and ready to proceed to the tee box at least 10 minutes before their scheduled tee time.

Late Arrivals

Golfers who arrive late are not guaranteed their scheduled tee time.

If a golfer misses their scheduled tee time, staff will make reasonable efforts to accommodate them at another available time; however, course access is not guaranteed.

8. GOLF COURSE WEATHER & OPERATING POLICY

Weather conditions can affect course operations and player safety. The Ranches Golf Club reserves the right to delay, suspend, modify, or close play when conditions are determined to be unsafe or damaging to the course.

Lightning Protocol

For player safety, when lightning is detected within 2 miles of the course, play will be suspended and golfers will be directed to return to the clubhouse.

Play may resume only after 30 consecutive minutes have passed without a lightning strike within the designated safety radius.

A new lightning strike within the designated radius will restart the 30-minute waiting period.

Rain & Flooding

Rain alone does not necessarily require the course to close.

The course may close when conditions include:

- Running water

- Flooded tunnels

- Flooded cart paths

- Unsafe playing conditions

- Conditions that may cause significant damage to the course

Final decisions regarding rain-related closures are made by the Golf Course Superintendent and/or Golf Operations Manager.

Snow

Course availability during snowfall is determined based on accumulation, course conditions, turf safety, and the ability to safely operate the facility.

Final decisions regarding snow-related closures are made by the Golf Course Superintendent and/or Golf Operations Manager.

9. RAIN CHECK POLICY

Rain checks are issued only when the Golf Course Superintendent or Golf Operations Manager determines that the course has become unplayable or dangerous due to conditions including:

- Lightning in the immediate area

- Extreme standing water or casual water on greens or fairways

- Course closure caused by severe weather

- Other conditions determined by course management to make continued play unsafe or impractical

Rain checks will not be issued simply because a golfer does not wish to play due to light rain, wind, cold temperatures, or other weather conditions when the course remains open for play.

Pro-Rated Credit System

Rain check value is determined by the number of holes completed and the original round purchased.

18-Hole Rounds

- 1–4 holes completed: 100% credit toward an 18-hole rain check

- 5–13 holes completed: 50% credit toward a 9-hole rain check

- 14 or more holes completed: Round is considered complete; no rain check will be issued

9-Hole Rounds

- 1–4 holes completed: 100% credit toward a 9-hole rain check

- 5 or more holes completed: Round is considered complete; no rain check will be issued

Rain Check Terms

Expiration: Rain checks are valid for 90 days from the date of issue.

Monetary Value: Rain checks have no cash value and are non-refundable. They represent a credit toward applicable greens fees and cart fees only.

Transferability: Rain checks are issued to the individual player and are non-transferable.

Redemption: The original rain check, either physical or digital, must be presented at the Pro Shop during the player's next check-in.

10. WALK-ON & BACK-NINE POLICY

To accommodate local players and utilize available course capacity before the morning crossover begins, limited walk-on access for back-nine play may be available during peak season, defined as May 1 through September 30.

Availability is subject to course conditions, maintenance, events, and tee sheet demand.

Weekday Walk-On Access

Monday–Thursday

Golfers may be permitted to walk on and play the back nine only, subject to the following:

- Timeframe: Players may check in beginning with the first tee time of the day. All walk-on players must be off the 10th tee no later than one hour after the first official tee time of the morning.

- Availability: Walk-on access is first-come, first-served. Access may be restricted when the back nine is occupied by maintenance, tournaments, events, or other scheduled activities.

- Pairing Up: Players may be paired with other golfers and required to share carts to limit cart usage.

- Pricing: Players will be charged the standard 9-hole rate.

- Crossover Rule: Walk-on players must maintain a pace of play of approximately two hours or less.

Walk-on players do not have priority over groups crossing over from the front nine. When a group completing the front nine reaches the 10th tee, that group has the right of way.

Weekend Policy

Friday, Saturday, Sunday, and Holidays

Walk-on back-nine play is strictly prohibited during weekends and holidays.

Players on these days must have a confirmed tee time beginning from the 1st tee.

Any exception for an emergency fill-in is at the sole discretion of Pro Shop staff.

Check-In Requirements

Every walk-on player must:

- Register at the Pro Shop

- Pay the applicable fee

- Receive authorization before beginning play

Players are not permitted to independently begin play from the 10th tee without Pro Shop authorization.

11. GOLF COURSE PRIVACY & PROPERTY DAMAGE INCIDENT POLICY

The Ranches Golf Club respects the privacy and confidentiality of its golfers and does not publicly disclose golfer names, contact information, or booking information.

This policy is particularly applicable when a homeowner reports property damage allegedly caused by an errant golf ball.

Privacy of Golfer Information

Course staff will not provide golfer names, phone numbers, contact information, or booking details directly to homeowners or other members of the public.

Property Damage Reports

If a homeowner believes their property has been damaged by a golf ball, they should:

1. Record the date and approximate time of the incident.

2. Note the hole number, if known.

3. Contact the appropriate local law enforcement agency to report the property damage.

4. Provide law enforcement with the relevant course contact information.

5. Allow law enforcement to make any appropriate records request.

Golfer information may be released when required by applicable law or pursuant to a valid legal request, such as a subpoena or lawful request from law enforcement in connection with an active investigation.

Internal Course Assistance

When appropriate, course management may facilitate communication between a homeowner and the golfer without directly disclosing the golfer's personal information.

Course staff may:

1. Obtain the approximate date, time, and hole number from the homeowner.

2. Review the applicable tee sheet internally.

3. Contact the applicable booking holder using information maintained by the course.

4. Inform the golfer that a homeowner has reported potential property damage.

5. Provide the homeowner's contact information to the golfer when appropriate so the parties may communicate directly.

6. Document the communication internally.

Staff should not disclose a golfer's personal information directly to a homeowner unless authorized or legally required to do so.

12. MEMBERSHIP TERMS & BILLING DISCLOSURE

By purchasing a membership, you acknowledge and agree to the applicable membership terms.

Membership Term & Renewal

Membership begins on the purchase date and continues through March 31, 2027, unless otherwise specified in the applicable membership agreement.

Memberships automatically renew annually on April 1, unless cancelled in accordance with the applicable membership terms.

Management reserves the right to adjust membership fees and dues with prior written or electronic notice.

Non-Renewal Requirements

Written notice of non-renewal must be submitted by February 28 for cancellation effective April 1.

Failure to provide notice by February 28 may result in automatic renewal.

Financial Responsibility

Members remain responsible for agreed membership payments regardless of:

- Failure to use club facilities

- Voluntary discontinuation of use

- Failure to submit required cancellation or non-renewal notice

Early Termination

Early termination requests may be considered for circumstances including:

- Relocation outside a 20-mile radius, with documentation

- Illness or injury preventing play, with documentation

- Loss of income, with documentation

If appropriate documentation cannot be provided, cancellation fees or other charges may apply at management's discretion and as permitted by the applicable membership agreement.

Recurring Billing Authorization

By purchasing a membership, you authorize recurring billing in accordance with your membership agreement.

Monthly dues are charged on the applicable billing date until cancellation becomes effective.

Membership payments are non-refundable except where otherwise required by law or specifically provided in the membership agreement.

Membership agreements may be provided separately by email.

Initiation Fee

A one-time $199 initiation fee may apply unless waived or modified by a promotional offer.

13. DATA SECURITY

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information.

However, no website, electronic system, transmission, or storage method can guarantee complete security.

14. DATA RETENTION

We retain personal information only for as long as reasonably necessary to:

- Provide our services

- Maintain business and membership records

- Process transactions

- Comply with legal obligations

- Resolve disputes

- Enforce agreements

- Protect our business and customers

Retention periods may vary depending on the nature of the information and applicable legal requirements.

15. YOUR RIGHTS & CHOICES

Subject to applicable law, you may have the right to:

Our general services and website are not directed toward children under 18.

We do not knowingly collect personal information from children except where such information is voluntarily provided in connection with programs, camps, junior golf activities, or other services involving minors and provided by or with the authorization of a parent or legal guardian.

Our website and communications may contain links to third-party websites, booking systems, payment providers, or other services.

We are not responsible for the privacy practices, security, content, or policies of third-party websites or services.

Users should review the privacy policies and terms of any third-party service they choose to use.

18. POLICY CHANGES

We may update this Privacy Policy and these operating policies periodically.

Any changes will be posted on our website with a revised effective date. Continued use of our website or services after changes are posted constitutes acknowledgment of the updated policies to the extent permitted by law.
